Create a checklist template

This feature allows you to create predefined task lists to manage recurring procedures.

Create a checklist template

To create a checklist template, click on the + button and then on Template.

Step 1

  • Enter the name of the template in the field provided (1).

  • Define if the model is linked to a team (2)

  • Then write the description of the checklist template that will be reused as a description template for each checklist launched afterwards, as in the example below (3) optional

  • Click on Save (4)

Step 2

THE MODEL IS NOT LINKED TO A TEAM :

  • From the Add member button, select all the members concerned by the model by clicking directly on the proposed users or by using the search bar (5).

  • Define the model moderators - these people will have access to the parameters of the model in question and will be able to modify it if necessary. (6)

  • Once the list of members created, click on Close (7)

THE MODEL IS LINKED TO A TEAM, TWO OPTIONS ARE THEN POSSIBLE IN TERMS OF ITS CONFIDENTIALITY:

A: the checklist model will be public, all team members will be able to access it.

  • From the Add member button, select all the members concerned by the model by clicking directly on the proposed users or by using the search bar (5)

  • Define the model moderators - these people will have access to the model parameters and will be able to modify it if necessary (6)

  • Once the list of members is established, click on Close (7)

B: The checklist template will be private, only members of the template have access.

  • From the Add member button, determine the members of the model by clicking directly on the proposed users or by using the search bar (5). Only the latter will be the only ones to see it and to be able to access its content.

  • Define the moderators of the model - these people will have access to the model's parameters and will be able to modify it if necessary (6)

  • Once the list of members created, click on Close (7)

Step 3

Enter the tasks that will serve as a template for future checklists:

  1. Enter the tasks one by one or copy/paste previously listed tasks. These will be created automatically in one go.

  2. Click on + to simply press Enter to validate the entry and generate the creation of the tasks.

  3. Delegate the tasks to different people. Each time checklists are launched, these same people will be assigned the same tasks.

Once the template has been created you can launch a checklist

Please note that each time a checklist is launched from the previously created template, several elements are included: tasks, the people responsible for the tasks, the workspaces with which the tasks are shared, planned dates, due dates, sub-tasks, description according to the template, attached files and watchers.

The tasks attached to a checklist are numbered in order to keep in mind the complete procedure according to the initial template. This also allows to differentiate between tasks linked to a checklist and those linked to a workspaces.

Tip for efficiently configuring the tasks in the checklist template

There is a button to prioritize, delegate and share tasks in the checklist template.

  1. Click on the magic wand icon

  2. Click on the option to configure (here Delegate)

  3. Select a responsible person by task (the task cards automatically scroll down after the responsible person is selected).
